Step 1: Open Assisted Setup. In Business Central, use Search (Alt+Q), enter “Assisted Setup,” and select Outlook Add-in Centralized Deployment.
Step 2: Choose and download the add-ins. Select the add-ins you want to deploy (Contact insights and Document view), then choose Download and Continue. A ZIP file containing the XML manifest files downloads to your computer.
Step 3: Upload the manifests in the Microsoft 365 admin center. Go to Settings > Integrated apps > Upload custom apps, upload each XML manifest, and assign the add-in to the whole organization, specific groups, or individual users.
Step 4: Wait for deployment. Add-ins can take up to 24 hours to appear for users. Restarting Outlook can help them show up sooner.
Step 5: Test it. Open an email from a known customer, select the Business Central add-in from the Outlook ribbon or message menu, and confirm the customer’s details load.
For Business Central on-premises: You first need to configure Microsoft Entra authentication. In the Microsoft Entra admin center, open your Business Central app registration, select Expose an API, and add a scope that requires admin and user consent. After that, the Centralized Deployment steps are similar.
Individual users can also add the add-in themselves if their admin allows it, by opening an email in Outlook, selecting Get Add-ins, and enabling Business Central.
Step 1: Set server-side synchronization as the default. In your Dynamics 365 app, go to Settings > Advanced Settings > Administration > System Settings, open the Email tab, and set Process Email Using to Server-Side Synchronization.
Step 2: Approve, test, and enable mailboxes. In the Power Platform admin center or Advanced Settings, open each user’s mailbox record, approve the email address, and select Test & Enable Mailbox. Mailboxes must show a successful status before the app can be deployed.
Step 3: Assign security roles. Give users the Dynamics 365 App for Outlook User role, along with the privileges for the records they’ll work with, such as create access for leads if they need to create leads from email.
Step 4: Install the app. Get Dynamics 365 App for Outlook from Microsoft AppSource and install it into your environment. Then, on the App for Outlook page, add it automatically for all eligible users, add it for selected users, or let users install it themselves.
Step 5: Test tracking. Open an email in Outlook, open the Dynamics 365 pane, select Track, and confirm the email appears on the related record in Dynamics 365.
When you track an email in the Dynamics 365 App for Outlook, a copy of the email is saved in Dynamics 365 as an email activity. You can then use Set Regarding to link it to a specific account, contact, opportunity, or case, so it appears on that record’s timeline.
Tracking works best with a clear policy. Many organizations track only customer-facing emails, use automatic tracking for emails in response to tracked messages, and leave internal or personal emails untracked. Server-side synchronization handles the actual syncing in the background, which is why tracking fails when the mailbox isn’t enabled.
Appointments work the same way. Tracked Outlook meetings become appointment activities in Dynamics 365, and depending on your sync settings, appointments created in Dynamics 365 can appear in Outlook.
As we all know, Dynamics 365 for Outlook works through email. So the first thing you need to do is track your email.

Set up the email.
To connect Dynamics 365 to Outlook, you need to use the Dynamics 365 add-in from the admin center.
Here is how you do it:
Open the Microsoft Entra admin center and make sure it is connected to Business Central. Then open the app registration, choose the Expose an API option, and define the admin and user consent scope.
That’s how permission is granted for communication.
Now search for Get the Outlook Add-in in Business Central, and a link will appear. Click the link, and the Configure Outlook page appears. Navigate through the setup steps. This will trigger the download of the XML files essential for the integration.
Now, complete the Configure Outlook page and follow the prompts to set up Outlook. Deployment for multiple users requires adding the XML files, which must be uploaded to the admin center.
After the add-in is successfully added, a green check mark appears on the screen. End users may need to wait up to 24 hours or restart Outlook for it to appear.
Open an email, go to the menu, and select Business Central. If it connects and appears, the integration is successful and running. Now users can use the system without any delay.

The emails you need are not being set up in Business Central.
The email does not appear, and the status is shown as pending.
Why? The mailbox needs to be configured. Synchronization is not fully enabled on the server side.
How to fix it: Run Test & Enable on the D365 mailbox. Set alerts for mailbox error messages. Approve the email on the mailbox.
Outlook does not show the pane and displays an error while connecting.
Why? Users do not have access to the Outlook app, or Windows authentication is not set up properly.
How to fix it: Grant role-based permissions for the Dynamics 365 App for Outlook. If you are using an on-premises system, go to IIS Manager and set authentication to Windows.
The mailbox has not been set to send or receive emails because it is not being tracked.
Why? The mailbox was not connected to Dynamics 365, the admin did not approve the email address, or the Autodiscover feature was not enabled.
How to fix it: Go to settings and approve the email address. Enter the EWS URL or enable Autodiscover. Set a secure connection and check SSL certificate validation.
A message displays that Dynamics 365 can’t connect.
Why? The URL does not work, or the user doesn’t have the required privileges.
How to fix it: Clear the browser cache and data, and allow the browser to store site data.
The appointments are not visible in Outlook.
Why? Multiple organizations are syncing to Dynamics 365, or required fields are missing from the form.
How to fix it: Use a single organization as your primary sync source. Ensure you add the Organizer field to the form.
An add-in error appears in Outlook.
Why? Registry keys were not properly set.
How to fix it: Set the required registry keys properly, use a modern browser to access Outlook, and make sure you are on the latest version of the Outlook app.
